Kairos is a software platform operated by Tevsoft("we", "us"). It lets businesses serve their customers on the business's own WhatsApp number: answering questions, guiding transactions, collecting payments, and supporting the business's staff. This policy explains what personal data we process, why, and the choices you have. It covers both this website and the Kairos platform.

Who is responsible for your data

When you message a business that uses Kairos, that business decides what the conversation is for and is the controller of that data. We process it on the business's behalf to provide the service. For data collected on this website (for example the contact form), Tevsoft is the controller.

What we process

  • Conversation data.Messages sent to and from a business's WhatsApp number, the phone number and profile name of the sender, and media shared in the conversation (for example claim photos or documents).
  • Business account data.Names, phone numbers, and roles of a business's staff who are authorized to use Kairos, and the business's configuration.
  • Transaction data.Payment references, amounts, and status. Card and mobile money details are collected by the business's own licensed payment provider, not by Kairos. Kairos never holds customer funds.
  • Knowledge content. Documents a business uploads so the assistant can answer from them.
  • Website data. Information you submit through our contact form.

How we use it

  • To deliver the service: answering enquiries, running guided flows, initiating payments, sending receipts.
  • To keep the service safe: verifying staff identity, gating privileged actions, and keeping audit records.
  • To support businesses and improve reliability of the platform.

Parts of the service use artificial intelligence to understand and answer messages. Answers to customer enquiries are generated from the documents the business provides, with sources. The AI never makes regulated decisions such as approving or declining an insurance claim; those decisions are always made by authorized people at the business.

WhatsApp and Meta

Kairos is built on the official WhatsApp Business Platform. Messages are transmitted through Meta's systems and are also subject to the WhatsApp privacy policy. We use no unofficial WhatsApp software.

Storage and security

  • Data is encrypted in transit and at rest, hosted with established cloud providers.
  • Every record is scoped to the business it belongs to, enforced at the database layer.
  • Credentials and access tokens are stored in a managed secrets vault, never in code.
  • Privileged staff actions require confirmation and are written to an immutable audit log.

Sharing

We do not sell personal data. We share it only with the service providers needed to run Kairos — cloud hosting, the WhatsApp Business Platform, AI model providers, the business's chosen payment provider, and email delivery — each bound to use it only to provide their service.

Retention and deletion

We keep data for as long as needed to provide the service to the business you interacted with, and as required by law (for example payment and audit records). You can request deletion of your personal data at any time — see our data deletion instructions.

Your rights

Kairos is designed around the Ghana Data Protection Act, 2012 (Act 843). You have the right to know what personal data we hold about you, to have it corrected, and to have it deleted. If you are a customer of a business that uses Kairos, you can exercise these rights through that business or by contacting us directly.
